Chanhassen Dinner Theatres is looking for a part time assistant to help in our Weddings and Events department. This role will work primarily Thursday-Sunday depending on the needs of the business. The Weddings & Events assistant works in tandem with the Wedding and Events manager to ensure our clients are full satisfied from the first interaction to their final.
SummaryThis part-time position must work cooperatively with all entities within the department to achieve the desired results. Position reports to Weddings & Events Manager, but detailed communication with Food and Beverage Managers and banquet staff is a must.
Essential Duties And Responsibilities
Assist the Weddings and Events Manager on all responsibilities of the Weddings & Events departments including but not limited to:
Assist in tasting session appointments
Assist with room diagrams and creating/distributing Event Orders
Various administrative tasks for banquet office as dictated by Weddings & Events Manager
Client communication via email, phone calls, and in-person exchanges
Assist with this specific event including booking necessary entertainment; ordering decorations; room diagrams; creating Event Orders and day-of decorating
Assist with event planning from initial meeting to day-of-event coordination
Assist with approval of room final room set-up, lighting, and linens
Responsible for keeping CDT files and records up to date including staff phone list, client excel doc., event calendar etc
Assist with overseeing ceremony rehearsals
Assist clients and staff with all set-up needs
Attend F&B meeting when Weddings & Events Manager cannot attend
Be present for all events as needed and manage events if manager cannot attend
Act as banquet captain as needed
Assist Group Sales to manage specific group event orders, etc. (cocktail parties/extras/event orders)
Manage CDT preferred vendors list – florists/decorators/entertainment
Attend bridal & event trade shows for new business
Work closely with Marketing department social marketing, menu design, and more
Other duties as assigned
Education, Experience, Qualification
Minimum of two or more years experience in event/catering or sales
Must have flexible availability including days, nights and weekends
Must be able to multi-task
Prior event experience is preferred
Administrative experience preferred
Prior supervisory/Management experience given preference
While performing the duties of this Job, the employee will regularly stand or walk, reach/carry with hands and arms and must be able to lift and/or move up to 50 pounds
